POSITION OVERVIEW
The Conference & Events Specialist is a strategic and operational leader responsible for the end-to-end planning, execution, and continuous improvement of high-impact conferences, corporate events, and Learning Centre programming.
This role blends disciplined project management with exceptional relationship stewardship to ensure every event — whether a large-scale conference or Learning Centre experience — is delivered on time, within budget, and aligned with Morris Interactive’s strategic objectives.
Serving as the central point of coordination, the Conference & Events Specialist oversees all phases of event development — from concept and budgeting to logistics, vendor negotiations, stakeholder engagement, and post-event evaluation. The role requires strong financial accountability, advanced organizational skills, and the ability to manage multiple complex workstreams simultaneously.
Beyond logistics, this position is responsible for curating an exceptional participant experience. The successful candidate understands that conferences are not just events — they are strategic platforms for engagement, Morris Interactive brand elevation, community building, and measurable impact.
KEY RESPONSIBILITIES
Project Management & Event Planning
- Lead end-to-end project management for conferences, summits, workshops, and corporate events
- Develop comprehensive event plans including timelines, budgets, task lists, and risk mitigation strategies
- Create and manage detailed project schedules using project management tools
- Track milestones, manage deliverables, and ensure deadlines are met
- Coordinate cross-functional teams to ensure seamless event execution
- Conduct post-event evaluations and provide recommendations for continuous improvement
Morris Interactive Learning Centre Operations
- Serve as operational lead for day events hosted at the Morris Interactive Learning Centre
- Coordinate room bookings, scheduling, and space optimization to maximize utilization
- Manage daily logistics including room setup, technology readiness, catering coordination, and guest flow
- Oversee Learning Centre calendar and ensure alignment between internal programming and external client booking
- Act as primary point of contact for facilitators, trainers, and external clients utilizing the Learning Centre
- Ensure audiovisual systems, presentation equipment, and hybrid/virtual platforms are tested and operational
- Coordinate signage, branded materials, and hospitality elements
- Ensure seamless participant arrival, registration, and on-site experience
- Support continuous improvement of Learning Centre systems, processes, and participant experience
Budget Management & Financial Accountability
- Develop, manage, and reconcile event budgets
- Monitor expenses to ensure cost control and profitability targets are met
- Prepare financial reports and cost forecasts
- Identify cost-saving opportunities without compromising quality
- Maintain clear documentation of contracts, invoices, and vendor agreements
Vendor & Supplier Management
- Source, negotiate, and manage contracts with venues, caterers, audiovisual providers, and other service providers
- Lead vendor negotiations to secure competitive pricing and favourable terms
- Establish and maintain strong working relationships with key vendors
- Oversee vendor performance and service quality before, during, and after events
- Ensure all vendor deliverables meet contractual and quality expectations
Stakeholder & Client Relationship Management
- Serve as primary liaison between internal teams, sponsors, speakers, and external partners
- Build strong, collaborative relationships with stakeholders to ensure alignment on goals and expectations
- Coordinate speaker logistics including travel, accommodations, and presentation needs
- Manage sponsor packages and ensure sponsor deliverables are fulfilled
- Provide regular updates and clear communication to all stakeholders
Participant Experience & Engagement
- Design and deliver exceptional participant journeys from registration to post-event follow-up
- Oversee registration systems, attendee communications, and event materials
- Ensure seamless on-site experience including signage, accessibility, guest services, and hospitality
- Anticipate and proactively resolve participant concerns
- Collect participant feedback and analyze engagement metrics
Logistics & On-Site Execution
- Coordinate venue layouts, room setups, staging, audiovisual requirements, catering, and signage
- Oversee event set-up and teardown
- Lead on-site event teams
- Manage event-day timelines and troubleshoot issues in real time
- Ensure compliance with health, safety, and accessibility standards
Strategic Planning & Continuous Improvement
- Contribute to long-term event strategy and annual conference calendars
- Analyze event metrics including attendance, engagement, and financial performance
- Identify opportunities for innovation, growth, and enhanced impact
- Stay current with industry trends and best practices in conference planning
QUALIFICATIONS
- Bachelor’s degree in Event Management, Hospitality, Business, Marketing, Communications, or related field (or equivalent experience)
- 3–7 years of experience in conference or large-scale event management
- Demonstrated experience managing budgets and negotiating contracts
- Strong project management skills
- Experience managing events with 100–1,000+ participants preferred
- Proficiency in event management software, registration platforms, and project management tools
